MOVING SERVICES Helpful Hints Plan ahead -- As soon as you know you will be moving and where you'll be moving to, use the planning chart to create a timeline so you can ensure all activities associated with the move will happen when they need to. Planning ahead will make the move go smoothly. Phone/ethernet service -- ITS needs detailed information about the relocation and activation of phone service. Provide a table listing each phone number to be moved, the outlet number it moves to, the type of phone at that outlet, the number of data ports to activate at the outlet, and the date on which the ports need to be activated. Electrical service -- If you do not have a project manager to plan electrical service, determine the future locations of all equipment requiring electricity. This includes computers, printers, copiers, fax machines, refrigerators, microwaves, coffee pots, etc. Make sure that there is sufficient power at each location. The fire marshal permits use of power strips to plug in computer equipment. Modular/systems furniture -- Systems furniture must be disassembled and re-assembled by a manufacturer's servicing dealer in order to retain warranty benefits. This work can be coordinated by Facilities Management interior designers who may be reached at 335-1283. Keys -- Work with locksmith to determine how new space will need to be keyed and how many keys you will need. All keys from previous location must be turned in to Key Services after relocation. Photocopiers -- The maintenance contract on some photocopiers requires them to be moved by a manufacturer's representative. Be sure to call your copier maintenance provider for instructions. Furniture removal -- When space is vacated and furniture will not be re-used elsewhere on campus, Surplus Stores can remove it. Talk with you project manager or space planning representative to determine if furniture will be re-used. Recycling containers -- Contact Jim Croy at 335-5109 to request large recycling containers to be used as you prepare to move. Hazardous Materials -- Check HPO's Web site for moving guidance on waste pickups, clearing rooms where radioactive materials were used, or decontaminating biosafety cabinets before moving them.
